Every new feature, improvement and bug fix in KollabHR since September 28, 2026. Updated with every release.

October 2026

  1. 12 changes
    • New
      Mobile app

In the app, managers can approve timesheets (a Timesheets waiting for you list under Tasks > To approve, with the hours of each day, Approve or Send back with a note), leave requests show their approval route (Step 2 of 3 and who approved each step), and an asset not returned by its due date shows a Not returned label.

    • Fixed
      Website

The pricing page now matches how billing works: free for teams of 1 to 10 employees, and from 11 employees you pay $4.95 per month for every employee on the team.

    • New
      Absences & leave

Approval routes for leave: choose who approves, in order (direct manager, then their manager, then HR), add a step for long requests (for example, more than 10 working days also goes to HR) and give a leave type its own route (CNESST straight to HR). A step with nobody to ask is skipped, a request is never approved automatically, and each request shows where it is (Step 2 of 3) and who approved each step. Slack and Teams say when your approval sent it on to the next approver. Requests already waiting keep the route they started with.

    • New
      Company settings

Admin access now goes to a person: Add an administrator asks whether they are an existing employee (their own login gets admin access, with no new password, and someone who already signs in is told by email) or a new person outside the company, such as an external payroll firm or a consultant. The Administrators list shows whether each one is an Employee, External or Not linked; a Not linked administrator can be linked to an employee file on the same login, or marked as not an employee (an outside person or a shared mailbox). An employee profile has Give admin access, and Needs attention lists the administrators not linked yet. Administrators can only give roles and permissions they have themselves, and cannot change, switch off or remove an administrator or a role that has permissions they lack; only the owner changes the company owner’s own access. Those roles, administrators and permissions are greyed out or locked. Adding an administrator from a location’s page picks that location.

    • New
      Workflows

Five more automation triggers: job, department or location changed (several edits within 10 minutes count as one, and messages can name the previous job, department or location), a date in one of your own date fields (once or every year), a temporary SIN about to expire (only the employee and administrators who can see SINs are ever told), a timesheet not submitted after the week ends (weeks of leave are not counted, and it stops once the days are submitted) and a training certificate about to expire. Three new ready-made automations, off until you turn them on: Work permit expiring, Temporary SIN expiring and Timesheet reminder. An automation on an expiring document now warns you when a Reminders rule already covers the same type.

    • Improved
      Employees

A SIN that starts with 9 is temporary: the profile now asks for its expiry date, shows it on the SIN card (or Expiry date missing) and lets HR change the date without retyping the number.

    • New
      Documents

Every company now has a Work permit document type with an expiry date, shown in your language; if you already had one, it is kept and now asks for an expiry.

    • New
      Training

Certificates can expire: set how many months a training’s certificate is valid, or a Valid until date on an external training, and an automation can remind people before it runs out.

    • New
      Workflows

Onboarding and offboarding steps can now go to Their manager or Their manager’s manager instead of a named person: when the workflow starts, the task goes to the employee’s manager at that level, and if the employee changes manager while the task is open, it moves to the new one with a line in its activity. With no manager on file, the task goes to the person starting the workflow, who is warned before saving.

    • Improved
      Employees

A departure no longer records company assets as returned: they stay assigned to the person who left, due back on their last day, until HR records each one as Returned or Lost (a lost asset is marked lost in the asset list). The Terminate window lists the assets to recover, late assets keep their actions on the profile’s Assets tab with a Not returned label, and Needs attention shows one line per person who left with assets still out.

    • New
      Platform

Sign in with Microsoft: on the company and employee portals, choose Continue with Microsoft and use the work, school or personal Microsoft account of the email your HR team invited. The first sign-in also accepts your invitation, your password keeps working, and Sign-in methods on your profile connects or removes it.

    • New
      My team

Managers can approve timesheets: in Approval routing, choose who approves weeks and timesheet changes (HR only, the reporting manager, or the manager then HR). Managers find them in My team > Approvals with the hours of each day, approve them or send them back with a note, and a week still waiting after the escalation delay also goes to the manager’s manager. HR only stays the default, and nobody can approve their own timesheet.

  2. 6 changes
    • New
      Workflows

Workflow automations: New workflow now asks for the type (Onboarding, Offboarding or Automation). An automation runs by itself when something happens, such as a salary change, a new candidate, an interview passed, an approved absence, a document about to expire or a work anniversary, and then notifies the right people or assigns tasks with their own reminders. Choose from more than 70 triggers grouped by module, add conditions (for example a raise of 5% or more, one leave type or one job), and send to the employee, their manager, the job’s hiring manager or anyone you name. Messages never show salaries or other private details to people who are not allowed to see them, and each automation has a history of what it did. A notice can also be sent again every few days at a chosen hour until the situation is resolved, and the ready-made Remind new employees to create their account resends the KollabHR invitation every 2 days to anyone who has not signed up yet, tells their manager, and stops as soon as they sign up.

    • New
      Performance

Automatic team feedback: choose Team as who fills an automatic review and up to four days of the year (for example March 1 and September 1). Every year on those days, each manager with enough direct reports to keep it anonymous gets anonymous feedback from their team, in one review per date, with answers due a few days later. Before you turn it on, you see the next date and how many employees will be asked about how many managers, and the review page lists each send with its answer rate and results.

    • New
      Workflows

Reminders for onboarding and offboarding tasks: each step has a Reminders tab where you choose how many days before the due date a reminder goes out and who gets it (the person doing the task, the employee’s manager, HR), and how often to remind them once it is late. New steps start with a recommended schedule, existing steps keep working as before until you apply one, and HR sees late tasks in Needs attention with a link to the employee’s onboarding. The step window keeps the same size on every tab, a step given to one named person shows that person’s name, and a long workflow scrolls with the page.

    • Improved
      Workflows

Onboarding and offboarding tasks assigned to an administrator, such as an outside payroll firm creating the new hire in its system, now arrive by email and notification with the employee’s name and start date. Every administrator finds their tasks under My tasks in the menu and can complete them, even with a read-only role.

    • Improved
      Recruiting

The applicants table is easier to scan: the Name column shows only the name and the Applied column only the date, without the New tag (the Stage column already says New) or the “3 days ago” line.

    • Improved
      Platform

Page headers in the employee portal now fit on a phone: the title and its buttons wrap onto two lines instead of squeezing together.

  3. 25 changes
    • New
      Company settings

Read-only administrators: one click in a role’s permissions (Consultation, read only) builds a role that sees employee files, pay, bank details and documents but can change nothing, for example for an outside payroll firm. Buttons that change things no longer show for such a role.

    • Improved
      Performance

One-time reviews have one person who fills them, like automatic ones: the manager, the employee (self-evaluation), colleagues or the team. A manager review can also create the employee’s self-evaluation as its own review, with the same form and people, and the manager reads the employee’s answers alongside without waiting for them. Reviews started before today keep working as they are, and the Reviews list shows when each one-time review is due.

    • Fixed
      Performance

Review scores are written the way your language writes them, with a decimal comma in French (2,2 / 5), in results, on employee profiles and in team feedback.

    • New
      Performance

Team feedback on managers: employees evaluate their manager in a one-time review with a ready-made form (Feedback on my manager), always anonymous, so HR and the manager only see the answers grouped, from 3 answers (a threshold you can raise up to 10), never who wrote what. HR compares managers side by side with their team’s turnover over the last 12 months and sees who needs attention, shares each manager’s results with them or with the managers above, and finds the team’s score on the manager’s profile; a legend explains the colours of each answer.

    • New
      Employees

HR can now fix an employee’s login email from their profile. If the employee already received their invitation, the old address is told about the change and the new one receives the sign-in details; if they were never invited, nothing is sent.

    • Fixed
      E-signatures

A Number field in a form or document can now be saved to a clothing size in the employee file (shirt size, pants size, pants length), so a pants size typed as 36 lands in the file.

    • Fixed
      E-signatures

A form question can now be a full sentence, up to 500 characters (250 for each choice), and a label that is too long is flagged under its field before saving.

    • Fixed
      Employees

Every list now shows all of it, however big your company is: employee pickers (sending a document, tasks, onboarding, leave requests, trainings, assets and notes), Invite employees (Select all now reaches everyone not invited yet), leave policy targets, the leave calendars (company, employee portal and My team), survey and sharing pickers, the notes list and announcements load more as you scroll and find anyone by name, and every location, department, job title, admin, role, leave type and policy is offered, where some lists stopped at 10 or 100.

    • Fixed
      Surveys

A date answer in a survey now shows the exact day the person picked, on every screen and in every time zone.

    • Fixed
      Platform

Email addresses that start with a digit (such as [email protected]) are now accepted in the company portal when signing in, signing up, resetting a password, inviting an admin and sharing a file.

    • Improved
      Security

Temporary passwords for new and imported accounts are now generated with cryptographic randomness, unique to each person.

    • Improved
      Security

The Microsoft Teams tab and the Claude connection are now protected against automated request floods.

    • New
      Recruiting

Share a candidate with a colleague who has no recruiting access: choose whether they only look or also give their opinion (move forward, unsure or pass, with a comment), and what they see besides the CV. They get an email and open it in their employee portal, under Candidates to review; their opinion shows on the candidate’s profile, and access ends when the job closes or when you remove it.

    • New
      Performance

Automatic reviews, each with its own rules: create as many as you need (mid-probation, end of probation, 1 year after the hire date and more), choose when each one is due (days, working days or months after the hire date or before the end of probation, moved back to a working day and skipping the holidays of each employee’s location), who fills it (the manager, or the employee as a self-evaluation), its form and who it covers, follow who has it upcoming, in progress or completed (while one is off, its upcoming list shows what would go out), and turn each one on after a preview of what will be sent. Reviews now lists automatic and one-time reviews together, and the employee file shows the reviews coming up.

    • Fixed
      Platform

French screens no longer show English: the default leave types (Vacation, Sick Leave and the others), the Owner role, login lines in the activity log and the Add official holidays window now read in your language.

    • New
      Recruiting

Interview mode on a candidate’s profile: the résumé on the left and your interview notes, skill scores and recommendation on the right, full screen and saved as you type, then one click back to the profile. The profile’s actions now sit across the top of the page.

    • Improved
      Performance

Review forms are filled one question at a time, on a phone (the KollabHR app too) and on a computer: a progress bar shows how many are left (3 / 15), a choice that needs nothing else moves on by itself, each step saves a draft, and a summary of every answer comes before you submit, each one a tap away from being changed; the whole form is still one click away. A rating is one row of buttons, one per level with its name when levels are named (long names wrap on whole words, even on a phone) and nothing chosen until you click, the manager’s page no longer shows an empty self-evaluation block when there is none, and the form preview shows only the reviewers who have questions and can be tried the same way, without saving anything.

    • New
      Platform

The AI assistant now answers about recruiting, surveys and performance reviews: your job openings and how many people applied, hiring activity over a period, survey response rates and review cycle progress, always within what your role can see.

    • Improved
      Performance

Performance is simpler: review cycles, probation evaluations and templates are now three tabs under one Reviews entry, and templates are one compact list with your own first.

    • Improved
      Performance

Probation evaluations are simpler: one built-in evaluation that works with or without the employee’s self-evaluation, used automatically when no form is chosen, and without a self-evaluation only the manager’s due date is shown or asked for.

    • New
      Performance

A probation evaluation can end with the probation decision: the manager’s choice to confirm, extend to a date or end the employment reaches HR as a recommendation in Needs attention, where HR confirms or extends in one click (with a reminder of the Quebec rules on extensions and notice) or starts the termination.

    • Improved
      Recruiting

Interview criteria from the ready-made list show in your language, even when a colleague added them in the other one, and suggest only skills you can judge in an interview, such as mechanical design, accounting principles, safe work on job sites, clinical judgement and safe driving, no longer diplomas or licences.

    • Improved
      Training

Training: a published training that nobody is assigned to now shows "Not assigned" with an Assign button, and publishing takes you straight to choosing who takes it.

    • Fixed
      E-signatures

A form you send now reads “submitted” everywhere, for HR and for the employee, and its email and reminders ask to fill it in instead of to read and confirm it.

    • Improved
      Website

Home and Features pages: a product tour with up-to-date screenshots of Recruiting, Messages, E-signatures, Training, Analytics and the employee portal, AI assistant illustrations that stay sharp on high-resolution screens, and a new assistant diagram with example questions and every topic it answers, now including hiring, surveys and reviews.

  4. 14 changes
    • New
      Performance

A Templates page in Performance: create, edit, rename, duplicate and delete your review forms, or start from a built-in one.

    • Improved
      Performance

Rating questions in review forms can name every level of their scale and take an optional comment beside each rating, and the person answering can tap a level to rate, which is easier on a phone.

    • Improved
      Training

Training schedules: assign a training to everyone now and to new hires a set time after they join, in one step, repeat it every 4, 5 or 10 years, or start it a number of months after joining.

    • New
      Training

Training results show the time each person spent on each chapter and on each slide.

    • Improved
      Training

The question link in a training now reads “Questions? Ask HR” instead of naming a person.

    • New
      Recruiting

Invite colleagues to an interview, with a Microsoft Teams link: the hiring manager you name on the job is suggested first, colleagues connect their own Outlook calendar from the employee portal or you ask them in one click, and you choose whether the candidate sees only the times when everyone is free, or only yours.

    • New
      Performance

Automatic probation evaluations: the manager receives the evaluation form before each checkpoint, and HR gets an alert. A built-in manager evaluation is ready to use: nine criteria on a 4-level scale with comments, a summary and the decision.

    • New
      Recruiting

Interview notes beside the résumé, saved automatically as you type.

    • New
      Recruiting

Interview criteria for each job, scored from 1 to 5 and chosen before the job is posted.

    • Improved
      Workflows

Workflows can send a form to fill in, as its own step type.

    • Improved
      E-signatures

Send any template, forms to fill in included, from its row in Templates, to one person or to everyone; when only one form matches, it is picked for you.

    • Improved
      Employees

Employee profiles: a “Back to the employee list” link on every profile, and the breadcrumb names the Trainings tab.

    • Fixed
      E-signatures

A form or document that shows the employee’s own address, phone or birth date can now be sent; a detail missing from someone’s file shows as a blank line.

    • Fixed
      Training

PowerPoint and PDF slides no longer stay stuck on “processing”.

  5. 2 changes
    • Improved
      Recruiting

An old interview booking link now opens a friendly bilingual page that says whether it was replaced or has expired.

    • Fixed
      Recruiting

The interview invitation window no longer cuts off the “Later” button.

  6. 8 changes
    • Improved
      Platform

Quality sweep: more than 1,800 test scenarios run across the whole platform, and every issue found was fixed and released.

    • Fixed
      Absences & leave

When another approver has already decided a leave request, the open request window closes instead of showing outdated information.

    • Fixed
      Platform

Temporary passwords: one pasted with extra spaces now works, and making an employee an admin keeps the one they already have, with no promise of a 24-hour expiry in the email.

    • Fixed
      Platform

Clearer checks on what you type: entries that are too long or not accepted show a clear message instead of a server error, including phone numbers, department names, job titles, holiday names and leave balance imports.

    • Fixed
      Employees

Two admins can no longer assign the same company asset at the same moment.

    • Fixed
      Recruiting

Recruiting: search ignores accents, clearer booking link messages, and a friendly message when the AI is busy.

    • Fixed
      Surveys

Surveys and performance: new hires receive their assigned surveys, answers are submitted only once, and safer reviews, cycles and 1:1s.

    • Fixed
      E-signatures

E-signature approvals, drafts and notices, task checks, and leave and tasks at termination all work as expected.

  7. 3 changes
    • Improved
      Documents

Simpler form templates: choose and order each form’s fields, one language per template, clear save errors, and new document types.

    • Fixed
      Surveys

Identified surveys show combined results by default.

    • Fixed
      Platform

The full-page loader no longer flashes between pages.

    • Improved
      Platform

After an update, the portals always load the newest version.

    • Improved
      Security

Changing or resetting a password, changing a role or deactivating an admin now signs out every other session.

    • Improved
      Security

Survey results, exports, trends and assigned tasks are limited to the branches the reader manages.

    • Improved
      Security

Browser security protections on every portal, and the platform now runs behind Cloudflare.

    • Improved

File uploads are size-checked, and large CSV imports are capped.

    • Improved
      Security

Error reports and team alerts no longer contain personal data.

    • Improved
      Mobile app

    • Improved
      Website

The privacy policy names our Privacy Officer, reachable at [email protected].

    • Fixed
      Mobile app

More reliable file uploads from the mobile app.

    • Fixed
      Company settings

Uploading a logo in Company info saves just the logo, not the whole form.

    • Fixed
      Workflows

Task notifications open the right place: your own task, or the page where you manage it.

  9. 5 changes
    • Improved
      Security

Security review: stricter checks everywhere so each person sees only the data of their own company, branch and role, and the AI assistant verifies every sign-in with the platform’s own keys.

    • Improved
      Messaging

Emoji in Messaging: an emoji picker in the message composer, and emoji-only messages appear larger in the app.

    • Improved
      Workflows

Shorter onboarding emails, without the explanatory notice.

    • Fixed
      Messaging

A temporary error in Messaging now stays inside the inbox instead of breaking the page.

    • Fixed
      Mobile app

File answers in surveys upload correctly from the app.

  10. 9 changes

Each KPI card has an info icon that explains how its number is calculated.

    • Improved
      Employee self-service

Employee self-service follows the rules HR sets, on the web and in the app, with clearer profile tabs.

    • Improved
      Absences & leave

Leave Management is now called Absences & Leave.

    • Improved
      Absences & leave

“Reason required” also applies when HR requests leave on someone’s behalf, and is marked in both forms.

    • Fixed
      Absences & leave

Absence types without a balance appear only once, even across several leave policies.

  11. 5 changes
    • New
      Employee self-service

Change rules for every profile item: choose whether an employee’s change needs HR or manager approval, only notifies them, or goes through directly, on the web and in the mobile app. Set in two columns (HR admin, manager) on the Employee access grid; requests show in To do on the HR dashboard and in My team.

    • New
      Absences & leave

New leave type rules, on the web and in the mobile app: absence types without a balance (such as unpaid personal leave or CNESST), a “Reason required” option, HR-only types, supporting documents attached to requests, and absences entered by HR approved on the spot.

    • Improved
      Recruiting

Click a job row to open it; Save and Publish in the job form, with an “Unpublished changes” marker.

    • Improved
      Recruiting

Jobillico: requirements and benefits are sent with the posting, and edits made directly on Jobillico are protected from being overwritten.

    • Fixed
      E-signatures

The manager is notified when the employee signs, not when the document is sent.

  12. 6 changes
    • New
      Recruiting

Job posting details (salary, positions, start date, status, shifts, hours) are sent to Jobillico, and descriptions keep their paragraphs and lists.

    • New
      Compensation

Hours worked per week on each salary, with a “Hourly wage wrong?” shortcut in training spend.

    • Improved
      Careers page

Careers page job details: salary, hours, status, shifts, number of positions and start date.

    • Improved
      Employees

The employee export includes every personal field: birth date, address and family.

    • Improved
      Recruiting

Jobillico fields of activity on the posting: all 209 are listed, the field is marked as required, and a missing one is named instead of “try again”.

    • Fixed
      Recruiting

“Still live on Jobillico” appears only when the posting really is.

  13. 6 changes
    • New
      Recruiting

      Recruiting

Safer Jobillico connection: one employer account per company.

    • Fixed
      Recruiting

Editing a Jobillico posting no longer renews it or uses a credit.

    • Fixed
      Training

Training wage cost subtracts the daily break, like the Compensation tab.

  14. 13 changes
    • New
      Employees

Employees without an email address: add them anyway, with a warning wherever an email would normally be sent.

    • New
      E-signatures

A chosen person can approve or sign before the employee, and the manager is notified. Managers approve from the employee portal.

    • New
      Documents

Preview employee documents right in the app instead of downloading them.

    • New
      Absences & leave

Reverse a manual leave grant or remove days, with a reason, fully traced.

      Recruiting

AI match score (Compatibility) for imported and hand-added candidates, when the employer authorizes it.

    • New
      Mobile app

My performance in the mobile app: 1:1s and goal check-ins, and performance notifications (1:1s, goals, reviews) open the right screen.

    • Fixed
      Employees

Creating an employee with an email that already belongs to someone is blocked, instead of merging the two people.

    • Fixed
      E-signatures
